Criminal Background Checks

Criminal background checks are a key requirement of the Youth Protection Policy (UW-1045) framework and support a safe environment for youth participants. Individuals involved in youth activities must complete the appropriate screening based on their role classification before engaging with youth participants.

Background Check Requirements by Role Classification

Under UW-1045 implementation guidance, background check frequency is based on role type:

How Background Checks Are Conducted

Criminal background checks are administered through the divisional Human Resources (HR) office of the youth activity. To initiate or update a background check, units must contact their divisional HR representative, who manages the process. The Office of Youth Protection does not conduct or process criminal background checks. Responsibility for coordinating and covering the costs associated with background checks rests with the school, college, or division. When planning a youth activity, units must account for these expenses as part of their program budget. These checks are in accordance with the UW-5014 Criminal Background Checks policy.

Responsibility for Compliance

Youth activity Authorized Custodians are responsible for ensuring that:

  • All required background checks are completed and current before the activity begins
  • Documentation of screening is maintained (See Simple Safe Zones)
  • Individuals who do not meet screening requirements are not permitted to interact with youth participants
